Circle the Wagons and Make a Plan

No matter the type of event you’re planning, you need to have a plan. What’s the goal of your event? Is it a sweet sixteen party? A fundraiser for a local charity? Introducing a new product or service to customers? Who is your audience?

Budget

What are your goals how much it will cost to accomplish those goals. Make a checklist of every cost item needed  to make the event happen. It can include signs, invitations, graphic treatments for the website, food, beverages, music, giveaways, etc. Think about events you’ve attended and imagine all the detailed  things that were involved. What do you absolutely need and what can you live without? Make a checklist and start developing an overall price tag.

Walk a Mile

Visit the venue before your event. Envision how you want attendees to experience the event. What signs need to be in place to avoid confusion? Where should you station staff? Basically, you want to understand what your guests will see from the time they walk into the venue to the registration table to the actual event. Feel matters. And the only way to anticipate how your event will feel is to walk a mile in your guests’ shoes.

Attendance Numbers
This is one detail that is often too broadly estimated for productive negotiations. Get realistic with your attendance projections. Decide in advance who you will invite . Attendance and budget are directly correlated, so don’t haphazardly guess about the number of people you think will attend.
